1. About Pretty Teepees LLC

Pretty Teepees LLC is a luxury children's event company based in McKinney, Texas, offering teepee sleepovers, glamping experiences, spa parties, and luxe picnics. Services are delivered to client locations within the Dallas Fort Worth area.

2. Booking and Deposit

• A $75 deposit secures your event date and is applied toward your total balance.
• Your date is not confirmed until the deposit has been received.
• The deposit is refundable only as described in Section 5.
• Pretty Teepees LLC reserves the right to decline any booking at its discretion.

Short notice bookings

Booking close to the event date means rearranging our schedule, our team, and our preparation time. A rush fee applies.

• Booked 3 to 7 days before the event date: $50 rush fee.
• Booked 1 or 2 days before the event date: $100 rush fee.
• The rush fee is added to your invoice at the time of booking and is non-refundable.
• Short notice bookings are always subject to availability. Booking within this window does not guarantee that personalized add-ons can be produced in time.

3. Payment

• The remaining balance is due by 5:00 PM on the day before your event.
• Balances not received by that time incur a $25 late fee.
• We do not set up an event that has not been paid in full. If payment has not been received by the time our team is scheduled to arrive, the event is treated as a cancellation within 5 days under Section 5.
• Accepted payment methods: credit card and debit card.
• Payment is made through a secure invoice link that we email to you. You enter your card details directly with our payment provider. Pretty Teepees LLC never sees, handles, or stores your card information.
• All prices are in US dollars and do not include sales tax, which is added where applicable.
• Prices are subject to change without notice. Pricing confirmed at the time of booking will be honored.

4. Delivery Fee

• Teepee sleepovers, glamping, and luxe picnics: $4.80 per mile.
• Spa parties: $2.40 per mile for up to 13 guests, and $4.40 per mile for 14 guests or more.
• The fee is calculated from our McKinney business address to the event location and is added to your invoice at the time of booking.

5. Cancellation

Cancellations by the client

• More than 30 days before the event: full refund, including the $75 deposit.
• Between 5 and 30 days before the event: the $75 deposit is forfeited. Any other payments are refunded within 5 to 7 business days.
• Within 5 days of the event: no refund, including the deposit and any payments already received.
• Cancellation requests must be sent in writing to sales@prettyteepees.com. The date we receive your email is the cancellation date.

Cancellations by Pretty Teepees LLC

We may cancel a booking if weather makes setup unsafe (Sections 9 and 10), if conditions at the location make setup impossible or unsafe, or if the balance has not been paid.

• If we cancel for weather or for any reason other than non-payment or unsafe client conditions, you receive a full refund including the $75 deposit, or you may reschedule at no additional charge.
• If we cancel for non-payment, Section 5 applies as a cancellation by the client.

6. Rescheduling

• Rescheduling is always possible subject to availability, including to another date in the same weekend.
• More than 5 days before the event: no charge. The $75 deposit transfers to the new date.
• Within 5 days of the event: a $50 rescheduling fee applies.
• An event may be rescheduled once. A second request is treated as a cancellation under Section 5.

7. Changes to a Booking

• Changes to guest count, add-ons, or event details may be requested up to the deadline stated in your booking confirmation email.
• Changes after that deadline are subject to a $50 adjustment fee and are accommodated at our discretion.
• Reductions in guest count, tents, beds, or services after the deadline are still charged at the original booked amount.
• Additions after the deadline are subject to availability and cannot be guaranteed.
• Personalized add-ons require names and ages by the stated deadline. Requests received later may not be ready in time.

8. Setup and Access

Our team needs clear access to set up safely and on time. By booking, you agree to the following.

• A parking spot must be available close to the main entrance. Our team carries significant equipment.
• The setup area must be clear of furniture and other items before we arrive. We do not move furniture or pre-existing items.
• The setup area must be clean, smoke free, and pet free.
• If the space is not ready when our team arrives, a $40 waiting fee applies for each 30 minutes of delay.
• Each teepee and mattress needs approximately 47 by 75 inches of floor space. Glamping tent space requirements are given at the time of booking.
• For glamping, the surface must be flat and level. Sandbags are required whenever the tent cannot be staked into grass or soft ground, which includes decks, concrete, pavers, and artificial turf: $200 for the 4M tent and $275 for the 6M tent, added to your invoice at the time of booking.
• Spa parties can only be set up on the ground floor. The client is responsible for making that space available and accessible.
• The setup area must be available to our team 15 minutes before the scheduled setup time so we can unload and start on time.
• While our team is setting up, we ask that children stay out of the setup area, both for their safety and so we can finish on time.

Setup and pickup times

Teepee sleepovers, glamping, luxe picnics, and balloon installations:

• When you book, you choose three setup windows that would work for you, and three pickup windows.
• Setup windows are Early morning (8 to 10 AM), Morning (10 AM to 12 PM), Afternoon (12 to 2 PM), and Late afternoon (2 to 4 PM).
• Pickup windows for luxe picnics and balloon installations, which come down the same day, are Morning (9 to 11 AM), Late morning (11 AM to 1 PM), Afternoon (1 to 3 PM), and Late afternoon (3 to 4 PM).
• Pickup windows for teepee sleepovers and glamping, which come down the next morning, are Morning (10:30 AM to 12 PM), Midday (12 to 1:30 PM), Afternoon (1:30 to 3 PM), and Late afternoon (3 to 4 PM).
• We confirm one setup window and one pickup window three days before your event, chosen from the ones you gave us so that we can route our team efficiently across the day.
• Because the confirmed times come from the windows you selected, they are final. Requests to move a confirmed time are treated as a schedule change under Section 16.

Spa parties:

• You choose your start time when you book, and that time does not change.
• When your booking includes a spa party, we time the whole setup off the spa start time and set everything up together, so we do not ask you for setup windows.

9. Weather Policy, Glamping Events

We monitor conditions 48 hours and again 24 hours before every glamping event, for the safety of your guests and the protection of our equipment.

Setups with ground stakes, on grass or soft ground

• Sustained winds under 25 mph: setup proceeds as normal.
• Sustained winds 25 to 35 mph: caution zone. We contact you the day before to assess conditions. Setup may proceed with additional securing measures at our team's discretion.
• Sustained winds over 35 mph, or gusts over 45 mph: setup does not proceed. This is a firm safety boundary and is not negotiable.

Setups with sandbags, on hard surfaces, turf, concrete, or pavers

• Sustained winds under 15 mph: setup proceeds as normal.
• Sustained winds 15 to 25 mph: caution zone. We contact you the day before to assess conditions. Setup may proceed at our team's discretion depending on location and exposure.
• Sustained winds over 25 mph, or gusts over 35 mph: setup does not proceed. Sandbags do not anchor as firmly as ground stakes.

Heavy rain and storms

If heavy rain or storms are forecast for the duration of a glamping event, we may cancel the setup for guest safety and equipment protection.

Your options if weather prevents setup

• Reschedule to the next available date at no additional charge, subject to availability.
• Convert the booking to an indoor teepee sleepover, with pricing adjusted accordingly.
• Cancel and receive a full refund, including the $75 deposit.

Pretty Teepees LLC makes the final decision on whether conditions are safe for setup. That decision is made in good faith and in the interest of everyone's safety.

10. Ice and Snow Policy, All Events

We do not send staff out for setup or pickup in icy or snowy road conditions. We will never ask a team member to travel or carry equipment on ice.

Teepee sleepovers

• If ice or snow is forecast for the setup day, we may offer early setup 2 to 3 days before the event so the party can go ahead as planned.
• Pickup is delayed until roads are safe. You may keep the teepees for up to one week at no additional charge while we wait.

Spa parties and glamping

• If ice or snow is forecast, the event is rescheduled to the next available date at no additional charge, or you may cancel and receive a full refund including the $75 deposit.

We monitor forecasts in advance and notify you as early as possible. The decision to delay, reschedule, or cancel for ice or snow is made by Pretty Teepees LLC and is final.

11. Client Responsibilities

Adult supervision

At least one adult aged 18 or older must be present for the entire event, including setup and pickup.

• Spa parties: our team is with the children during the spa activities. At all other times during the event, an adult from the family is responsible for supervising the children, including any child who steps away or goes outside. The hosting parent or guardian must be present throughout.
• Teepee sleepovers, glamping, and luxe picnics: our team sets up and styles the party and then leaves. We are not present during the event and are not responsible for supervising the children at any time. Supervision is the responsibility of the hosting parent or guardian.

Guest conduct

• The client is responsible for the behavior of all guests during the event.
• No shoes inside the glamping tent or on teepee mattresses at any time.
• Light, dry snacks and clear beverages such as water are permitted inside tents. Greasy, messy, or staining food and drink, including tomato-based dishes, dark juices, fruit punch, and cola, are not permitted near linens, mattresses, or tent fabric.
• Paint, markers, nail polish, makeup, slime, and colored drinks must be kept away from Pretty Teepees LLC property at all times.

Spa party guests

• All children attending a spa party must arrive with nail polish fully removed. We do not remove nail polish during the event.
• The minimum age for spa party guests is 4 years old.
• All of our spa products are cruelty free and made without added artificial dyes, parabens, or sulfates.

Pillows

• Guests at teepee sleepovers and glamping events bring their own pillow for hygiene, unless the client has booked the personalized pillowcase with pillow add-on.

12. Damage to Equipment

• The client is responsible for any damage, loss, or staining to Pretty Teepees LLC property during the event.
• Charges are assessed after pickup based on the actual cost of repair, professional cleaning, or replacement, and are supported by photographs and the repair or replacement invoice.
• We notify you of any damage charge within 48 hours of pickup and send an invoice.
• Damage invoices are payable within 5 business days through the same secure payment link used for your booking. Pretty Teepees LLC does not keep card details on file and cannot charge a card directly.
• Items subject to damage charges include, without limitation, teepee frames, mattresses, linens, decorative cushions, lanterns, rugs, bell tents, and personalized items.

13. Limitation of Liability and Release

PLEASE READ THIS SECTION CAREFULLY. IT LIMITS YOUR RIGHTS.

THE CLIENT UNDERSTANDS THAT A PRETTY TEEPEES LLC EVENT CARRIES THE ORDINARY RISKS OF ANY RECREATIONAL ACTIVITY, INCLUDING FALLS, BUMPS, REACTIONS TO PERSONAL CARE PRODUCTS, AND, FOR OUTDOOR EVENTS, BEING OUTDOORS, WEATHER AND WIND, UNEVEN GROUND, AND INSECTS.

TO THE FULLEST EXTENT PERMITTED BY TEXAS LAW, THE CLIENT RELEASES PRETTY TEEPEES LLC, ITS OWNERS, MEMBERS, EMPLOYEES, AND CONTRACTORS FROM ANY CLAIM FOR PERSONAL INJURY, ILLNESS, ALLERGIC REACTION, OR PROPERTY DAMAGE ARISING FROM OR IN CONNECTION WITH THE EVENT, INCLUDING ANY CLAIM CAUSED IN WHOLE OR IN PART BY THE ORDINARY NEGLIGENCE OF PRETTY TEEPEES LLC. THIS RELEASE DOES NOT COVER GROSS NEGLIGENCE OR WILLFUL MISCONDUCT.

THE CLIENT AGREES TO INDEMNIFY AND HOLD HARMLESS PRETTY TEEPEES LLC FROM ANY CLAIM, EXPENSE, OR ATTORNEY'S FEES BROUGHT BY ANY GUEST OR THIRD PARTY ARISING FROM THE EVENT, EXCEPT FOR CLAIMS ARISING FROM THE GROSS NEGLIGENCE OR WILLFUL MISCONDUCT OF PRETTY TEEPEES LLC.

PRETTY TEEPEES LLC'S TOTAL LIABILITY FOR ANY CLAIM ARISING FROM A BOOKING SHALL NOT EXCEED THE TOTAL AMOUNT PAID BY THE CLIENT FOR THAT BOOKING.

NOTHING IN THIS SECTION LIMITS OR WAIVES ANY RIGHT THAT CANNOT BE LIMITED OR WAIVED UNDER TEXAS LAW, INCLUDING RIGHTS UNDER THE TEXAS DECEPTIVE TRADE PRACTICES ACT.

Clients with known allergies or skin sensitivities should notify us before the event so we can plan accordingly.

14. Guest Waiver

• Every attending guest must have a completed Pretty Teepees LLC Guest Form before the event. It is completed online through the link in your booking confirmation email.
• The hosting parent or legal guardian is responsible for making sure every attending family completes the Guest Form before the event date.
• We may refuse service if the Guest Form has not been completed before setup.
• The Guest Form is a separate document. It does not replace these Terms and Conditions. Both apply.

15. Photography

• We photograph setups, decor, and styling for our website and social media. We prioritize photographing the setup rather than individual guests.
• We do not use an image in which a child is identifiable unless that child's parent or legal guardian has given permission in the Guest Form.
• Permission is given by choice in the Guest Form. A family that does not give permission is not photographed, and this does not affect the service in any way.
• Pretty Teepees LLC never sells client or guest images to anyone.

16. Schedule Changes

• Setup or pickup time changes requested within 48 hours of the event are subject to a $50 fee.
• We make every effort to accommodate reasonable adjustments but cannot guarantee availability for last-minute changes.

17. Venue Fee

• A $100 venue fee applies to teepee sleepover, spa party, and luxe picnic bookings held anywhere other than a private residence, including hotels, Airbnb properties, apartment clubhouses, and community or event spaces.
• The fee is added to your invoice at the time of booking and is non-refundable.
• It covers the additional coordination, logistics, and time required in shared or commercial spaces.
• Spa parties at any venue must still be on the ground floor. No exceptions.
• Glamping is not available at hotels, apartments, Airbnb properties, or any non-private outdoor space.

18. Service Area

• We serve the Dallas Fort Worth area. Delivery fees are calculated from our McKinney location at the rates in Section 4.
• Bookings outside our standard service area are considered case by case and may carry additional travel fees.

19. Gratuity

Gratuity is not included in any Pretty Teepees LLC invoice. If our team gave you exceptional service, gratuity is always appreciated and never required.

20. Events Beyond Our Control

Pretty Teepees LLC is not liable for any failure or delay caused by events beyond our reasonable control, including severe weather, natural disaster, fire, flood, power failure, road closure, government order, public health emergency, or the illness of essential team members. If such an event prevents us from delivering your booking, you may reschedule at no additional charge or receive a full refund including the $75 deposit.

21. If Part of These Terms Cannot Be Enforced

If any part of these Terms and Conditions is found to be invalid or unenforceable, that part is limited or removed to the smallest extent necessary, and the rest of these Terms remains in full force and effect.

22. Modifications to These Terms

Pretty Teepees LLC may update these Terms and Conditions at any time. Changes are posted on our website with an updated effective date. Bookings confirmed before a change are governed by the Terms in effect at the time of booking.

23. Governing Law and Disputes

• These Terms and Conditions are governed by the laws of the State of Texas.
• Any dispute arising from a booking or service is resolved in the courts of Collin County, Texas.
• We encourage you to contact us directly before pursuing formal legal action. We are committed to fair and reasonable solutions.

24. Agreement

By paying the deposit and proceeding with a booking, you confirm that you have read, understood, and agree to these Terms and Conditions in full. Together with the Guest Form, these terms are the entire agreement between the client and Pretty Teepees LLC for the services booked.
